List of Documents needed for Passport Renewal

Kindly go through and complete the following steps:

(A): Passport Renewal or Emergency Certificate (EC) - Minimum validity on the day of travel must be six month.

1) Pl fill up the online application: https://portal3.passportindia.gov.in/Online/index.html and then take a print out. You have to first register, a link comes to your given email ID, click the link & fill up the form. If you want EC, kindly choose/fill up the form accordingly. EC is only for returning to India. Documentations for EC and passport are almost the same.

2) Need 2 photos of 2inch x 2inch; white background as per sample specification; https://www.vfsglobal.com/india/uk/NEW_Indian_Passport.html

3) Keep your original passport, a copy of your passport, UK visa, BRP card, etc ready for presentation. All copies to be self attested. Only one copy/set needed.

4) Pl fill up Annexures E ; https://www.vfsglobal.com/india/uk/pdf/Annexure-E.pdf

5)Personal Particulars Form (PPF); Please fill up by hand/type and submit with your application. This is necessary to arrange Police Verification in India. References should be from India. https://www.vfsglobal.com/india/uk/pdf/Personal-Particular-Form.pdf

7)Marriage certificate/birth certificate (Original & copies) -  in some cases/wherever necessary

8)Affidavit for change of appearance, wherever necessary (but MUST for children): Pl fill up by hand and submit with your application. Pl download: https://www.vfsglobal.com/india/uk/pdf/Affidavit_for_Change_of_appearance_270215.pdf

9) No visa undertaking, wherever necessary: Pl download and submit: https://www.vfsglobal.com/india/uk/pdf/re-issue_of_SVP.pdf

10) Undertaking where Passport is withheld/kept with UK Home Office: pl download: https://www.vfsglobal.com/india/uk/pdf/self-undertaking.pdf

11) Please attach a copy of your UK entry visa, wherever necessary.

12) Online appointment: Once online application is ready, take an appointment from our website and Submit it to VFS https://www.hcilondon.gov.in/appointment_home/

13)Print out of Appointment mail (sent by us) or online confirmation, without which VFS will not accept you.

14) On the day of appointment, pl reach the concerned VFS Center on time. Payment will be by debit card. If your documents are short, the whole exercise will have to be done again.

15) You are advised to exercise due diligence while filling up the form and prepare your application/documentation extremely carefully to avoid disappointment due to rejection of the same at VFS.

(B): Passport renewal for minor children:

1) Documents mentioned at ‘A’ above.

2) Annexures D; Pl fill up and submit: https://www.vfsglobal.com/india/uk/pdf/D-Annexure.pdf

3) Annexure C:  If one is applying as a single parent. https://www.vfsglobal.com/india/uk/pdf/C-Annexure.pdf

4) Personal Particulars Form (PPF); Pl fill up for both the Parents and submit with the application. Pl also give parents photos.

5) Enclose a copy of the child and parents’ passport (1st and last pages), UK visa, BRP card, address proof, entry visa, etc

6) If a child below 5 years is unable to sign, then thumb impressions (left hand) with Blue/Black Ink only may be affixed. Minor children who are able to sign/write their names should do so. 

7)Kids are not required in VFS to submit the application. One of the parents can do it.

(C) First Passport to the newly born child.

1) All documents mentioned at A and B above.

2)Birth certificate issued by the local Council/County.

3) Birth registration certificate issued by the High Commission of India, London

4)Birth registration and new Passport applications can be submitted together. However, passport will be issued only on birth registration and receipt of birth certificate.

(D):  Lost or Stolen or damaged Passport:

1) All documents mentioned at (A) above.

2) Police Report: Bring a copy of online police report in respect of the lost passport: (www.met.police.uk/report/lost-or-found-property)

3) Letter to Passport Officer: Need a letter addressed to the Passport Officer, explaining the circumstances under which the passport was lost/stolen/damaged

(E):  Change of Name:

1)  Documents mentioned at ‘A’ above.

2)  In addition, the applicant (both male and female) should furnish: (i) clippings of two local newspapers or the Gazette notification of the concerned State Government (in India), as the case may be; (ii) at least two public/school documents (like, PAN, Aadhar, Voter ID, driving licence, BRP, etc) issued (in India or the UK) in the desired/ applied changed name to ascertain that the applicant has actually changed his name and iii) name change deed; https://www.vfsglobal.com/india/uk/pdf/change_of_name_270215.pdf

Documents needed for Surrender of Indian Passport or Duplicate Surrender Certificate.

3) Naturalization Certificate (Original & Copy)

4)Indian Passport (Original & Copy)

5)British Passport (Original & Copy)

7)Notary affidavit (original & copy) - if the Indian passport is Lost. Pl give full details of the lost passport and then brief circumstances as to how and when it was lost. It should give the applicant's full name, foreign passport no; date of birth, etc.
